Journals Administrative Handbook: Calendar & Workflow

February 2L through May 3L

The cycle for each editorial board spans from February in the 2L year until graduation, and sometimes beyond.  Listed deadlines are meant to provide general guidance but straying very far from them raises the risk of not finishing the volume until after graduation while studying for the Bar Exam and working.

Note: This calendar was created by previous Editorial Boards or the NMLR and NRJ and it may not coincide with contemporary practices of either the NMLR, NRJ, or the the TLJ. 

Calendar

January

  • Selection & announcement of incoming editorial board

    • Faculty Advisor sends email to law school community

 

February

  • The incoming board is elected and begins work.

  • Issue 2: Article selection for special/themed issue

    • Consider whether issue #2 will be special/themed; if so, contact Law Library Director ASAP, cc'ing designate and accountant, and UNMSOL Advancement Department.

    • Issue a call for proposals (CfP) by Feb 28 with Apr 15 submission deadline

    • Assess abstracts by June 30

  • Apply for funding for NCLR Conference (if EIC and MgE hope to attend). Note: in recent years, this conference may not have been held because of the pandemic and may not be back and "active"

    • Submit applications to SRAC, OGS, GPSA and UNMSOL.

 

March

  • Training
    • Read this Journals Administrative Handbook
    • Incoming board members should shadow the 3L Board

  • NCLR conference held (see above note under "February.")

  • Recruitment: Journal information session

    • Information presented about each journal, the TWEN site for the write-on competition is demonstrated, students can sign up for TWEN

    • Food is usually provided

    • Contact the Law Library Director or designate to release the new TWEN site for the write-on competition

April

  • Recruitment: Write-on and Bluebook Session

    • Application packet and procedures reviewed. Either the Journal EiCs or a library faculty member provides a live or recorded introduction to the Bluebook

  • Issue 1: Article selection

    • Read submitted manuscripts & assess

 

May-June

  • Write-on
    • Opens one week after finals, closes mid-June

  • Issue 1: Offers

    • Make publication offers to authors, authors accept/decline, publication agreements signed by author & Library Director or designate; final drafts submitted by author. Deadline June 30

May

  • Editors meet with Library Director or designate, as well as Library accountant, for guidance on setting their budget for upcoming academic year

    .

June-August

  • Issue 1: Manuscript editing

    • Substantive edit, grammar and style edit, EIC/MgE read edited versions, discuss changes with author, author approval. Deadline Aug 31

       

June

  • Write-on graded and new staff are notified.

  • Former board members are removed from network drive file shares and email list, new editors added

    • Contact IT: helpdesk@law.unm.edu

    • New editors become responsible for answering emails from previous volume’s authors

  • Issue 2 (If special/themed): Assess abstracts by June 30

    • Notify authors that manuscript due date is October 15

July

August-October 15

  • Issue 1: Source and cite

    • Gather documents, place ILL requests, generate assignments, divide footnotes among staff, archive source documents.

    • Deadline Oct. 15.

       

August

  • New staff training session held

    • Reserve law school classroom

    • If lunch included, get expense pre-approved by Library Director or designate

  • 1L recruitment at New Student Orientation tabling event

    • Orientation is run by the Student Services office

  • Meet with Library Director or designate to review schedule, budget, document management, etc.

  • Issue 2: Article selection

    • Read submitted manuscripts & assess

       

September-October

  • Issue 2: Offers

    • Make publication offers to authors, authors accept/decline, publication agreements signed by author & Library Director or designate, final drafts submitted by author. Deadline: Oct 31

       

October-December

  • Issue 1:Final Review

    • Final approval from authors, format article, create PDF, final editorial review and approval of front matter and articles

    • Deadline: Winter Break

       

November-January

  • Issue 2: Manuscript editing

    • Substantive edit, grammar and style edit, EIC/MgE read edited versions, discuss changes with author, author approval

    • Deadline Jan 31

       

November

  • Information distributed about new board selection

     

December-February

  • Issue 2: Source and cite

    • Gather documents, place ILL requests, generate assignments, divide footnotes among staff, archive source documents.

    • Deadline Feb 28

December

  • Issue 2: Student notes/book reviews selected

     

January

  • Editors manual and bylaws updated and posted

  • Selection and announcement of incoming editorial board

    • Advisor sends email to law school community

  • Issue 1: Print and announce

    • Upload PDFs to Sheridan (Sheridan is the printer for the Law Journals), approve cover

    • Create repository metadata, update website, send publication announcements

       

March-May

  • Issue 2: Final Review

    • Final approval from authors, format article, create PDF, final editorial review and approval of front matter and articles

    • Deadline: May 31

March

  • Training

    • Work with incoming editorial board members who will be shadowing and urge them to read Administrative Handbook

May

  • Issue 2: Print and Announce

    • Upload PDFs to Sheridan (Sheridan is the printer for the Law Journals), approve cover

    • Create repository metadata, update website, send publication announcements

  • Celebrate completion of your volume and graduate!
